Role Summary

The TalentScotland Graduate Placement Programme is a multi-partner programme supported by TalentScotland, Scottish Enterprise (SE), Highlands & Islands Enterprise HIE), Scottish Government, Association of Graduate Careers Advisory Services (AGCAS), Skills Development Scotland (SDS) and the Scottish Funding Council (SFC). The main aims of the programme are to match graduate talent with business growth related projects in Small and Medium Sized businesses throughout Scotland, with the aim of increasing graduate employability and helping businesses to grow.  The programme started in October 2010 for an initial 3 year pilot period and has since delivered over 450 graduate placements.

AGCAS Scotland has been a key partner throughout and employ the Programme Manager. Based at Edinburgh Napier University and sitting alongside the Programme Manager, the Support Officer will provide support for the TalentScotland Graduate Placement Programme and the Programme Manager to ensure optimum customer service is provided to both graduates applying through the programme and employers offering placements.

This role could be completed as a 6 month, part-time internship by a current student or as a part-time role for a recent graduate. Please note the successful applicant will be available 5 days a week. It may be possible to job share.

Main duties and responsibilities

Management of graduate application process- to ensure optimum customer service for graduates applying for placements:
- Manage the Talent Scotland inbox
- Ensure all enquiries are responded to in a timely fashion
- Ensure all candidates receive prompt replies regarding the outcome of the applications and are signposted to relevant careers services, other potential useful programmes or tools
- Ensure main Project Tracker is updated accordingly with outcomes of selection

Management of graduate application process- to ensure optimum customer service for graduates applying for placements:
- Manage the Talent Scotland inbox
- Ensure all enquiries are responded to in a timely fashion
- Ensure all candidates receive prompt replies regarding the outcome of the applications and are signposted to relevant careers services, other potential useful programmes or tools
- Ensure main Project Tracker is updated accordingly with outcomes of selection process
- Work with the Programme Manager to improve the graduate induction pack in order to ensure graduates are fully aware of the opportunities open to them through the programme, as well as their rights
- Manage the Equalities inbox and set up relevant spreadsheets, monitoring or reporting mechanisms.

Management of programme reporting – to ensure the programme reporting is accurate and timely by assisting the Programme manager in:
- compiling monthly reports for stakeholders on number of applicants and graduates placed
- analysing trends in applications related to advertised location, wage, subject field etc

Marketing to graduates – to maintain and increase the number of graduates aware of the programme and applying for placements across universities in Scotland and more broadly by assisting the Programme manager in:
- Weekly communication to university careers services
- manage and implement the Social Media Marketing Plan based on current practice and best practice in the sector
- Management of social media presence of TSGPP via Hootsuite: Twitter, Facebook, LinkedIn etc
- targeting promotion towards hard to fill placements especially, but not exclusively, in IT, Electronics and Electrical Engineering
- Identify new channels for online marketing, e.g. to target market specific “hard to fill” vacancies
- attending marketing events.
- Coordinate the production of marketing materials.

Finances – to ensure the Programme finances are accurate and up-to-date by assisting the Programme Manager in:
- timely recording and processing of invoices etc

Events booking – to ensure TSGPP is well represented at relevant events by:
- Liaising with Careers staff at Scottish universities and in other relevant institutions to ensure programme representation at fairs, presentations etc at all Scottish Universities.

Essential Requirements

Currently completing or recently graduated form a minimum undergraduate degree qualification. 

IT skills including MS Office, particularly MS Excel

Excellent attention to detail

Ability to work on own initiative and part of a wider team

Ability to work accurately and manage time effectively

Good written and oral communication skills

Reliable and flexible

Desirable Requirements

Marketing related degree modules or some understanding of social media and marketing more broadly

General office experience

Customer service experience

An interest in students and employability issues
