Job summary

Axis Limited is looking for a graduate for a 12-month Project Co-ordinator role, based in Aberdeen. The successful candidate will enhance business improvement through co-ordination and project management in order to support a small and dynamic team of highly experienced engineers providing engineering and early production solutions to the global Oil and Gas Industry.

Project Description

Axis's operations are project based and the Project Co-ordinator’s role is to provide coordination in all areas of project management and company administration in order to assist the project manager, ease the workload of others and thereby increase company efficiency.

The successful candidate will actively participate in the maintenance and improvement of the company’s Quality Management System, with success determined from records of: internal audits, opportunities for improvement, and minutes of management reviews.  He/she will provide prompt and efficient support to projects and personnel whilst gaining experience with business management and project management processes and activities, with success determined from project records, client feedback and appraisals.

Success Measures

Implementation and maintenance of company management and administrative systems, e.g. document control, timesheet/CTR management, and report compilation.

Provision of assistance in company management and administration in a timely manner to key personnel, thus reducing their administrative burden.

Role Description

1. Quality Management:

·         Assistance to the Quality Representative in the implementation, monitoring and maintenance of the Quality Management System

·         Document Control activities, following an initial period of training

·         Maintenance of the company library, under supervision of the Quality Representative as appropriate

·         Ensuring that the latest version of codes, standards, rules, regulations, etc are available for engineering projects

·         Assisting with the compilation of engineering project reports

·         Participation in internal audits and assistance with management review documentation

·         Participation in design review and meeting note taking.

2. Project Commercial:

·         Assistance to the accountant with timesheet management and cross referencing them to project planning CTRs

·         Assistance to the accountant with basic bookkeeping and filing

·         Administration of petty cash

·         Maintenance of the company asset inventory.

3. Assistance to the Managing Director and Engineers:

·         Assistance to the Managing Director in his company duties as required.

·         Day-to-day management of the office including the provision of administrative support to engineering personnel.

·         Administrative support to projects.

·         Ensuring file server back-up operates and completes as intended.

·         HR management assistance with frame agreements, service orders, employment contracts, maintain personnel files and right to work checks.

·         Ensuring an adequate provision of office supplies.

Duties and responsibilities can be modified or changed to satisfy company requirements and additional duties can be assigned as and when required, particularly following a period of training.

Skills / Experience

Essential

·         Proficient in using MS Office suite, particularly Word and Excel

·         Strong communication skills

·         Positive work ethic

·         Honest and trustworthy

·         Desire to learn and be trained.

Ideal

·         Team working skills

·         Organising Skills

·         MS Project (or equivalent)

·         Knowledge of ISO 9001 (training can be provided if required).

Qualifications

Graduate from undergraduate degree or above. All disciplines accepted.
