Job Summary

Turner Hire Drive Ltd is part of the Turner Group of companies. We are looking to recruit a motivated and enthusiastic Graduate to work within the Fleet Services Department. The role will involve supporting the Fleet Services Manager in day-to-day fleet management activity, maintaining the fleet management database and carrying out various reporting functions. This role would suit someone who would like to embark on a career in the fleet industry and is an exciting 12 month placement opportunity with the potential for a permanent role thereafter, based in Glasgow.

Project Description

Turner Hire Drive specialises in van, car and minibus hire throughout multiple locations in Scotland and in England. The company offers competitive rates on owner driver schemes, contract hire options and fleet management services. The Fleet Management Service manages a large number of vehicles over a full cradle to grave service; buying, maintaining and ensuring compliance. This new role will support this busy function with the primary aim of:

  • Supporting the Fleet Services Manager in the development and delivery of the fleet management function
  • Ensuring that all job, fuel, tachograph, fleet management data, documentation, costs are recorded effectively ensuring effective vehicle costing and that invoice production operates smoothly throughout the month
  • Ensuring administration for the department is carried out efficiently and accurately.

 

Role Description

Full training will be provided but the successful candidate will be a competent administrator, interested in vehicle and fleet management and with an eye to business analysis and process development. Working with the Fleet Services Manager, the graduate will ensure that legal compliance is foremost in the process and cover all administrative functions. They will also review the process in order to suggest improvements to efficiency. Long term, there may be the opportunity to gain training and corporate membership of the Institute of Car Fleet Management, so this is an excellent opportunity for someone looking to start their career in Fleet Managment.

Key responsibilities will include:

  • Maintain and operate an effective fleet management system, including file maintenance and general administration, e.g. computer input, invoicing, timely correspondences, etc
  • Maintain accurate records in relation to fuel costs and drivers licensing
  • Timely administration of tax discs, penalty charges, prosecution notices
  • Assist with the management of motor insurance claims
  • Ensuring that all operators’ license customers are informed, in writing, of when their vehicles are due for 6 weekly inspections
  • Liaise with various suppliers
  • Tachograph records (from vehicles measuring drivers hours) to be analysed and relevant reporting to be distributed on monthly basis
  • Assist in the preparation of month end reports, accurately and on time
  • Help ensure the office is a safe working environment.

 

Skills/Experience

Essential

  • Knowledge of database reporting
  • Excellent communication skills
  • Excellent attention to detail
  • Ability to work to deadlines and manage time effectively
  • Knowledge of Microsoft Office
  • Must be able and willing to work as part of a team as well as individually
  • Be proactive and use own initiative when required.

 

Optional

  • Knowledge of motor insurance claims
  • Experience in, or knowledge of presentations
  • Knowledge of cost control practices.

 

Qualifications

Graduate from a minimum undergraduate degree. This position may suit business or social science-related graduates but is open to all relevant disciplines.
